OPENING: OFFICE AND EVENT COORDINATOR
JOB SUMMARY: This position is responsible for managing on-site operations and logistics at the Vermont Jazz Center, ensuring smooth execution of concerts, workshops, and educational programs. This hands-on role involves coordinating event setup, volunteers, and finances, while also supporting bulk mailings and the Center’s immersive Summer Workshop.
Since 1974, the Vermont Jazz Center has brought affordable high-quality jazz performance and instruction to the rural towns of southern Vermont. Our major activities include ten+ annual concerts (one a month, September – June), a week-long residency in August, and ongoing ensemble classes. We have become recognized as a premier venue for major performers, and we are equally proud of our service to our local community.
RESPONSIBILITIES
- Location: In-Person at VJC, Brattleboro, Vermont
- Reports To: Director and Operations Director
- Collaborates With: Bookkeeper and Communications Manager
- Status – Part-time: up to 20 hours/week, 20-25K salary, with some weekend and project-based hours
Requirements:
- Bachelor’s degree or equivalent experience
- Experience in event planning
- Organization and communication skills/people skills
- MS Office Suite, Google Workspace, Adobe and other computer skills
- Experience with CRM (Customer Relation Management software) & WordPress preferred
- Active driver’s license & reliable transportation
In-Person Tasks Include:
Event Planning & Coordination: Oversee setup and logistics for concerts and events, including seating, signage, volunteer coordination, and artist hospitality. On event days, serve as the main point of contact to manage volunteers, handle ticketing, respond to artist needs, and ensure smooth execution and clean-up.
Educational Program Support: Coordinate registration, communication, and payment tracking for semester-based classes, maintain records in Neon CRM. Manage scholarships and work-study students, ensure responsibilities are fulfilled in collaboration with Director.
Summer Workshop Coordination: Prepare the campus for the Summer Jazz Workshop, including dorm setup, registration materials, and supply organization. During the week, provide on-site support to students and faculty, coordinate with the Putney School, oversee concerts, and manage full breakdown at the end.
Bulk Mailing: Export mailing lists from Neon CRM, generate labels, and organize bulk materials for brochures and donor letters. Work with volunteers to prepare and deliver USPS-compliant mailings, ensuring accuracy and timely distribution.
General Office Operations: Maintain a clean, stocked, and welcoming office while responding to emails, phone calls, and in-person inquiries. Support daily operations by printing monthly thank-you notes, picking up mail, and coordinate concerts, workshops, and mailings.
