OPENING: OFFICE AND EVENT COORDINATOR

JOB SUMMARY: This position is responsible for managing on-site operations and logistics at the Vermont Jazz Center, ensuring smooth execution of concerts, workshops, and educational programs. This hands-on role involves coordinating event setup, volunteers, and finances, while also supporting the VJC’s archive and summer educational programs.

RESPONSIBILITIES

  • Location: In-Person at VJC, Brattleboro, Vermont
  • Reports To: Director and Operations Director
  • Collaborates With: Bookkeeper and Communications Manager
  • Status – Part-time: up to 20 hours/week, salaried, with some weekend and project-based hours

Requirements:

  • Bachelor’s degree or equivalent experience
  • Experience in event planning and archiving
  • Organization and communication skills/people skills
  • MS Office Suite, Google Workspace, Adobe and other computer skills
  • Experience with CRM (Customer Relation Management software) & WordPress preferred
  • Active driver’s license & reliable transportation

In-Person Tasks Include:

Event Planning & Coordination: Oversee setup and logistics for concerts and events, including seating, signage, volunteer coordination, and artist hospitality. On event days, serve as the main point of contact to manage volunteers, handle ticketing, respond to artist needs, and ensure smooth execution and clean-up.

Educational Program Support: Coordinate registration, communication, and payment tracking for classes, maintain records in Neon CRM. Manage scholarships and work-study students, ensure responsibilities are fulfilled in collaboration with Director.

VJC Archives: Catalog physical and digital resources. Upload current and past materials to Vimeo. Follow protocols to keep all resources labeled, up-to-date and organized.

Bulk Mailing: Export mailing lists from Neon CRM, generate labels, and organize materials for brochures and donor letters, ensuring accuracy and timely distribution.

General Office Operations: Maintain a clean, stocked, and welcoming office while responding to emails, phone calls, and in-person inquiries. Support daily operations by printing monthly thank-you notes, picking up mail, bank deposits, and coordinating concerts, workshops, and mailings.
